BACKGROUND
The Citadel Group is a leading ASX listed software and technology company servicing the enterprise and Government markets. Founded in 2007 they had over 200 employees when they engaged Employment Innovations for Outsourced Payroll and HR software services in early 2018. Recently they have taken over another company increasing their staff numbers by another 100 employees and requiring EI to merge the payroll requirements of both companies into a single payrun.
CHALLENGE
Citadel has some unique pay conditions such as additional super, employee allowances and multiple contractors which had been setup in their existing payroll setup. While Citadel paid their employees on a 38hour week the new business they acquired paid employees on a 40hour week and had different contractor rates which required carrying over a separate rule-set of allowances, payslip generation and reporting.
SOLUTION
Carina had an established operating rhythm with her payroll partner with all contractors familiar with the timesheeting process and payroll processing and reporting setup to meet the business requirements of Citadel Group. As the new company had separate payroll requirements, combining into a single processing and reporting view required a customised setup. Carina met with the payroll team where it was decided that manual processing was initially going to be required through the process of Citadel acquiring and on-boarding the new business and contractors. Customised setup and reporting was scoped and logged with the payroll team to ensure the final instance would meet the requirements of the combined businesses and its contractors.
RESULT
Citadel was able to manage the payroll requirements of its existing employees without interruption with the newly acquired staff retaining their contracted hours and pay conditions while transferring to the new timesheet and employee self-service functionality of KeyPay. While the back-end processing had an initial period of manual intervention the employee experience and reporting remain unchanged.
