The use of Location in KeyPay

Jasmine: Hi, Iโ€™m Jasmine from Employment Innovations. We are going to explore how location can be selected in employee timesheets, reporting can be filtered by locations and how your business can use locations for separating payroll journals.

Letโ€™s take a look. Here is how at Employment Innovations we have locations set up in KeyPay. We can see here that Employment Innovations as the overarching location, and then different locations underneath. So we have stores and warehouses, and then have this split by employment type. Additionally, we have our head office which is then split by department

When an employee is set up in KeyPay, they will be assigned a default location in their employee file. However, if they work across different departments or locations, their expenditure can be split between locations. If you have salaried employees, they can be split with a percentage and for employees using timesheets, the location they work in can be selected here.

You can also create rostered based on locations, so when an employee is assigned a shift, they will also be placed in a specific location, allowing you to budget for the rostered shifts in advance.

Once the hours are processed in a pay run, the location split flows through into payroll reporting, which allows you to drill down into the payroll expenditure for a particular location with more precision.

This can also flow through into your payroll journal, by splitting employee costs by location. Each location can have separate account for everything from payroll and superannuation expense, to leave liabilities for accruals.

The use of locations in KeyPay can optimise many functions within payroll, making reporting more effective and giving you greater visibility over the expenditure and resourcing in each department or location of your business.
